RESPONSIBILITIES

  • In collaboration with the Vice Provost, supervise and provide ongoing leadership for the Administrative Programs Coordinator
  • Ensure operating efficiencies by constantly reviewing policies and procedures to maximize continuous improvement in operations, data accuracy, and implementing changes when needed.
  • Serve as the communication liaison for operational procedures and practices between the colleges and ADC/OUS programs.
  • Work in collaboration with the office of the Vice Provost of Academic Administration to ensure appropriate catalog changes have been made for the upcoming academic year
  • Develop and manage policies and processes in collaboration with the Faculty Development Team in hiring and training processes for full-time and adjunct faculty
  • Support the Vice Provost with scheduling undergraduate, graduate, and ADC/OUS courses in collaboration with the AUL’s and records department.
  • Track department budgets
  • Maintain various documents, databases, and records for the Vice Provost including but not limited to: employment records, faculty loads, faculty promotion and tenure, pay loads/levels, and evaluations.
  • Coordinate hiring process for full-time faculty, including advertising, making arrangement for on-campus visits, organizing travel arrangements, and processing all reimbursements.
  • Direct the onboarding for all full-time faculty, including orientation support.
  • Direct the onboarding for all adjunct faculty, including processing hire, verifying employment documents, enrolling in courses, creating contracts, and orientation completion
  • Create and distribute individual contracts for all adjunct and exempt faculty
  • Track, coordinate, and submit payment for all faculty overloads, independent studies, honorariums, practicums, and thesis. As well as process and submit pay for all exempt faculty.
  • Coordinate the faculty evaluation process: setting up course administrations for selected courses to be evaluated, creating emails for faculty and students, and troubleshooting any issues that arise.
  • Provide administrative support for special events and training as assigned
  • Provide administrative assistance for meetings, including scheduling, making arrangements, agenda preparation, contacting participants, taking minutes, and follow-up
  • Responsible for Emergency Response in office
  • Perform other duties as assigned.

By the following academic year will assume the following duties:

  • Coordinate all classroom scheduling for the Liberty Station Conference center, ensuring off-campus school hours are met each semester.
  • Serve as the main point of contact for the university’s student evaluation system, Campus Labs. Maintaining databases, creating, and submitting the cross-list file each semester, and trouble shoot various issues across the campus with faculty and staff during evaluations.

QUALIFICATIONS

  • A master’s degree in a related field is strongly preferred; three to five years of experience in high education setting is required
  • Demonstrated leadership and management experience in a complex organization with proven ability to apply management principles, lead staff, organize and set priorities, and establish unit goals and outcomes.
  • Knowledge and skills in the management of budgets, personnel, and facilities.
  • Demonstrated skills in selecting, supervising, training, and motivating, and evaluating professional and administrative staff.
  • Knowledge of the broad spectrum of academic and professional programs in the university
  • Three to five years of work in a higher education setting.
  • Proficient in Google Suite, Windows, Word, Excel, PowerPoint, and other common software packages
  • Strong written and oral communication skills

PHYSICAL REQUIREMENTS
The work is primarily sedentary and may require sitting for extended periods of time. Use of computer equipment: computer keyboard, mouse, and monitor. Ability to read documents, email and other correspondence, and reports on paper and computer monitor. Hearing and speaking to communicate effectively with others in person and by phone. Ability to stand, stoop, push, pull, and lift up to 20 lbs throughout the day.
